Your Trust Is Our Foundation
When you invite SA Picture Day into your school or studio, you're trusting us with children. We take that responsibility more seriously than any other aspect of our business.
Independently Owned. Locally Accountable.
SA Picture Day is owned and operated by Alex & Yelena Usov in San Antonio. There is no private equity parent company and no investor access to your student photos. When your school has a question, you can reach the owners directly.
How does SA Picture Day protect student data and privacy?
SA Picture Day stores student photos on industry-standard encrypted servers, never on personal devices. Photos are accessible only to the school coordinator and the student's family through a password-protected portal. We follow COPPA and FERPA guidelines, vet every vendor we use, and never sell student data or use student photos to train AI systems. Families can request deletion at any time at [email protected].
Our privacy protocols are designed for real school operations. We handle roster data, image processing, and gallery delivery with clear access controls and vendor oversight. As an independently owned San Antonio company, we stay directly accountable to the schools and families we serve.
Our Security Framework
Four pillars that protect every child, family, and institution we serve.
Background Checks
- All photographers and staff undergo criminal background checks before first assignment
- Sex offender registry check for all team members
- Annual re-verification for all active staff
- Fingerprint-based background checks available for districts that require them

- Password-protected, encrypted parent portal with unique family access codes
- No student photos are stored on personal devices
- We maintain a formal data retention policy and delete photos after our defined retention period
- Every vendor we use is vetted against our privacy standards, and student data is never sold
COPPA & FERPA Aligned
- We operate in alignment with COPPA guidelines and best practices for children's privacy
- We operate in alignment with FERPA guidelines and school data privacy expectations
- Student photos are never used to train AI models, facial recognition systems, or machine learning tools

How We Keep These Promises
Security is an ongoing operating practice, not a one-time checklist.
- Annual background check renewals for active staff, not just at hire
- Staff access is revoked promptly during offboarding
- Vendors are reviewed before each renewal cycle
- No student data is permitted on personal or employee-owned devices
- Data transfers use encrypted transmission channels
- Student data is used only to deliver photo services to families and schools
For District IT & Data Privacy Officers
We understand district IT and privacy teams need more than promises. SA Picture Day is prepared to:
- Sign a Data Processing Agreement (DPA) aligned with your district's requirements
- Complete a vendor security questionnaire
- Provide documentation of background check processes
- Participate in a vendor risk assessment review
- Comply with district-specific data governance requirements
- Provide sub-processor details and vendor vetting documentation (including GotPhoto)
